When Someone Books a Call

Follow this exactly every time. Don't improvise.
15 minutes before — research them
Check their LinkedIn, their website, their recent posts. Find ONE specific thing to reference in your opening line. This alone separates you from every other freelancer they've talked to.

Set the frame (Min 0–2)
Here's how I like to run these — I'll ask you some questions for the first 10 minutes or so, then I'll share what I'm seeing and whether I think I can help. Sound good?
This puts you in control and relaxes the client.

Ask the 5 questions (Min 2–12)
Use your call sheet. The 5 questions:
1. "Tell me how your business runs day to day operationally."
2. "What's the biggest bottleneck — the thing costing you the most time or stress?"
3. "How much time per week is that costing you?"
4. "If that was fixed — what would be different?"
5. "How long have you been dealing with this, and what made you look for help now?"

Listen 70% of the time. Write their EXACT words. You'll use them in the proposal.

Reflect their problem back (Min 12–15)
Based on what you've shared, here's what I'm seeing. You're spending [X hours] on [their bottleneck]. The core issue isn't just the time — it's that [underlying cause: everything in your head / no system / no visibility]. What that means is [consequence from their Q4 answer]. Does that sound right?
When they say "yes, exactly" — you've won. That moment = they've decided to hire you. Now just close.

Prescribe the service (Min 15–18)
Based on this, I'd recommend a [Backend Org System / Automation / Website]. What I'd build is [describe it in their language, not yours]. The goal is [their exact words from Q4]. Timeline is about [X days]. Investment starts at $[price].
Then stop talking. Silence is not awkward. Let them respond. The first person to speak after stating the price loses leverage.

If they seem ready:
I'll send a proposal within 24 hours with the full scope, timeline, and investment. If everything looks good, we can get started [date]. Does that work?
If hesitant:

→ Every signed PandaDoc contract

Start this habit BEFORE you have income. The folder needs to be clean and organized.
Aug 2026 — Reset Weekend + Week 1
BIR Certificate of Registration (Form 2303)
Go to your RDO. Bring ID + TIN card. File Form 1901. Pay ₱500. Get Form 2303. Save it to Google Drive immediately.
Apr 2027 — Before consulate appointment
BIR Annual ITR (Form 1701) — due April 15
Hire a PH accountant (₱2,000–5,000). They file for you. Get BIR-stamped copy. This covers your Jun–Dec 2026 income and is one of your strongest DNV proofs.
August 2027 — within the evidence window
Begin NBI Clearance Application
Apply at nbi.gov.ph. Pay ₱130. Processing 1–3 weeks. Then DFA apostille = 1–2 more weeks. Start early — if you have a "hit" (name match), it takes 6–10 weeks total. Don't wait.
October 2027 — after the evidence window
Spanish Criminal Record Certificate
Request at sede.mjusticia.gob.es using your NIE + Cl@ve PIN. Check your Cl@ve is still active — if it expired, renew at Spanish Consulate Manila first. Takes 3–10 business days once requested.
November 2027 — Before applying
Health Insurance
Must cover Spain. No copayments. €30,000+ coverage. Get quotes from Cigna Global, Allianz Care, AXA. Budget $60–150/month. Buy it and get the certificate BEFORE you apply — not after.
December 2027 — close to application
BIR Certificate of Good Standing
Request from your RDO. Valid for a short window — get it close to your application date, not months before.
November 2027 — request current letter
Remote Job Contract Letter
Ask your employer for an official letter stating: your role, your salary, that work is fully remote, and that the company is non-Spanish. This is what connects your job income to your DNV application.
Q1 2028 — Application window
Apply at Spanish Consulate Manila
Address: 5th Floor, Libertad Building, 835 A. Arnaiz Ave (Pasay Road), Legaspi Village, Makati. Book your appointment weeks ahead — slots fill fast. Bring ALL documents. Fee: ~€75. Processing: 10–20 business days.

✈️ Back to Spain — on your own DNV
Register on Padrón immediately on arrival. As a Filipino, 2 years legal residence = citizenship eligible. By 2030–2031, you apply for Spanish citizenship. This is real. This is yours.

Focus Rules — Read Every Morning

The 10 Rules — for when it gets hard

  1. One task owns the day. Every morning, write ONE thing that must happen. Not 5. One. Everything else is bonus.
  2. Job hours are sacred. When you're on the job, you're on the job. Not Rue. Not LinkedIn. The job pays the bills and proves DNV income.
  3. Rue hours are also sacred. When you're on Rue, you're not checking job Slack. Boundaries protect both.
  4. No big decisions before 9am or after 7pm. Emotional decisions live at the edges of the day. Hold them until tomorrow.
  5. Grief is allowed at work. When it hits — stop. Walk. Feel it. 15 minutes. Then come back to the one task.
  6. Outreach happens even on bad days. 10 LinkedIn messages. Not optional. The client you land in Month 5 comes from messages sent in Week 2.
  7. One family meal per day — phone down. This is what keeps you together when business is slow and emotions are loud.
  8. Spain stays visible. A photo on your desk, a screensaver. On hard days — look at it. Remember why all of this exists.
  9. Bad days don't break the plan. A bad day is a Tuesday, not a failure. Show up tomorrow.
  10. Friday 5pm = laptop off. Saturday: 4 hours Rue only. Sunday: fully off. This pace is 18 months. You cannot sprint the whole thing.

What If — When Things Go Differently

No job after 3 months of applying?

Plan B: Apply to 15/week instead of 10. Lower expectation to $600–800/month temporarily. Take a contract VA role on OnlineJobs.ph as a bridge — max 20hrs/week so Rue stays primary. Keep applying for the right role.

First Rue client takes 5+ months?

Plan B: Fine. Your job is covering income. Rue grows on its own timeline. Not being desperate actually makes you more attractive to good clients. Keep outreach going.

Zero Rue income some months?

Plan B: Normal. It happens to every freelancer in year one. The DNV clock is carried by your job income. One empty Rue month doesn't break anything. Don't panic — keep outreach going.

Grief is too heavy some weeks?

Plan B: Drop to minimum viable week: job hours + 10 LinkedIn messages/day. Nothing else. Tell family. Rest. The plan tolerates 1–2 hard weeks per month. It doesn't tolerate stopping outreach for a whole month.

Rue takes off faster than expected?

Plan B: Rue hits $2,500/mo for 3 consecutive months → drop job to part-time. Rue hits $3,500/mo for 3 months → drop job entirely. But only after sustained proof — not after one good month.

You need to slow down for a bit?
